PLANNING GUIDE

How do you plan an exhibition stand without losing time?

Start with venue, dates, area, goals, required functions and a realistic decision schedule before developing the visual concept.

01

What should an exhibition stand brief include?

A useful brief states the event and venue, stand dimensions, open sides, audience, commercial goal, functions, technical needs, available assets, budget and approval process.

That information lets the team test feasibility before expensive design decisions are fixed.

02

When should planning begin?

Begin early enough to protect design development, organiser approvals, production, freight and installation.

A custom European project often needs 8–14 weeks; complex, high or double-decker structures may require longer. Event-specific deadlines take priority.

03

Which venue documents matter?

Use the current organiser manual, technical guidelines, hall plan, logistics instructions and order deadlines for the exact event.

Rules vary by venue and event. Never reuse last year’s assumptions without verification.

04

How do you compare proposals?

Compare the same design, materials, organiser services, freight, labour, dismantling and storage scope.

A lower total is not comparable when essential services or technical assumptions are omitted.

Can the design start before the final hall number is known?

A direction can start, but access, height, rigging, escape routes and approval conditions must be confirmed before technical sign-off.

What files should we send?

Send the floorplan, organiser manual, brand guidelines, product dimensions, reference images and any existing 3D or technical files.
